DESCRIPTION:
This position resides in various Operations and Project Management groups and will provide a variety of project management support within the individual project functional areas. These functional areas currently include Design, Regional Projects Project Controls, Project Accounting, and may include others areas in the future. Responsibilities include providing assistance and support to customers, supervisors/management, work leaders and employees who are involved with the project delivery process.

Responsibilities include providing assistance and support to customers, supervisors/management, work leaders and employees who are involved with the project delivery process.
Please note this is a twelve (12) month Term position with an option to extend for an additional six (6) months.
This position is based in Coaldale, however candidates from other locations in Alberta may be considered.
DUTIES & RESPONSIBILITIES INCLUDE (but not limited to):
Design and Regional Projects Departments:
Design:
- Assist with the assembly and printing of construction plans; this includes printing and compiling construction prints and single line diagrams.
- Assist with the entry of proposed facility extensions of small and medium projects into G-Electric mapping system.
- Update the material order and finalize the construction package for use in the field.
- Order location maps, pipeline and underground research, easements, land title searches and registered plans.
- Work with the Approvals group to obtain approvals or notifications associated with projects to ensure they are part of the construction package.
- Communicate with customers and external agencies throughout the project construction phase; this includes updating customers according to the project communication plan, recording customer concerns and working with the appropriate resources to resolve customer issues.
Project Controls:
- Assist in maintaining project schedules, tracking systems and project governance documentation.
- Monitor and maintain project specific systems and documentation and communicate issues and risks with Stakeholders.
- Respond to customer enquiries and provide project updates to customers and stakeholders.
- Coordinate project close reporting by providing analysis of actual costs compared to estimates.
- Provide analysis of actual schedules to project baseline.
- Communicate clearly with various delivery teams to assist with project plans.
Project Accounting Department:
- Complete and close work orders; this includes updating records, paying purchase orders, processing material returns, generating cost reports, and other related duties.
- Receive and process return data including processing and distributing information associated with records and entering site IDs (G-Electric).
- Process ERS purchase orders in an accurate and timely manner; this includes creating the purchase order, performing the goods receipt, and performing required reconciliations.
- Compare final ‘As-Built’ construction prints to SAP cost reports ensuring completeness and accuracy of the project costs and investigate discrepancies if required.
- TECO orders to ensure timely and accurate capitalization of projects.
- Review project costs, complete Project Review Checklist (cross reference material and labour costs to contracts, etc.) documenting the variance of actual costs compared to estimated costs and related duties.
General Project Assistant Duties:
- Perform a variety of administrative duties.
- Prepare reports and analysis documents as needed including reports from G-Electric.
- Create and print construction/SLD prints or single line diagrams from G-Electric as needed.
- Enter data accurately into various systems (i.e. SAP, Project Management Tool, CRM, etc.).
- Review and analyze the effectiveness and efficiency of existing policies, procedures and practices; recommend and implement approved improvements.
- Assist or backup other Project Assistants across all functional areas as required.
- Assist Design Specialist/Technologists as required including approvals prints and REA prints.
- Special projects and other duties as assigned.
KNOWLEDGE, SKILLS & ABILITIES:
- Ability to apply judgment in determining appropriate procedures and requirements for various distribution projects.
- Basic understanding of electrical system function and distribution operations.
- General knowledge of terminology related to project management and power system engineering policies and procedures.
- Strong computer skills including proficiency in MS Office, SAP and AM/FM.
- Demonstrated aptitude for organization in order to complete construction packages.
- Proven ability to develop and maintain effective relationships with internal and external stakeholders; this includes good communication, interpersonal and problem-solving skills.
- Customer service focus supported by solid organizational and time management skills in order to prioritize numerous projects and competing demands.
- Demonstrated initiative in recognizing opportunities for improvement and efficiency in processes and practices.
- Proven ability to work independently and as a member of a team.
QUALIFICATIONS WE ARE LOOKING FOR:
- A High School Diploma including completion of Grade 12 Math and Grade 12 English plus a minimum of three (3) years of experience in an administrative role is required.
- A degree or diploma in Business Administration, Accounting, Electrical Engineering Technology, or other related discipline is strongly preferred.
- An equivalent combination of education and experience may be considered.
- Experience working in a regulated environment, preferably within the electrical utility industry, would be an asset.
