We are looking for a detail orientated and motivated Administrative Assistant/Dispatcher.
As an Administrative Assistant/Dispatcher, you will play a crucial role in supporting the day-to-day operations of our company. You will work closely with various managers to ensure smooth workflow and efficient processes. This position offers an excellent opportunity for someone who is organized, proactive, and eager to learn and grow within a fast-paced environment.
The successful candidate for this role should possess excellent oral and written communication skills as well as organizational and time management skills. The position requires the ability to work effectively both as part of a team and independently, and work in a fast paced environment.
Responsibilities
- Dispatching, creating routes, taking work orders.
- Billing & invoicing customers.
- Drafting job quotes for customers.
- Processing payments - debit, credit, cash, cheques, and inputting the payments into the system.
- Answering phone calls, emails, and assisting customers.
- Organize and schedule appointments.
- Organize the driver's jobs daily.
- Filing.
- Order shop and office supplies.
- Assist drivers with required job site orientations
- Maintain a record of the inventory, as well as keep track of all inventory that goes out.
- Bank deposits, assist with bank recs, month end, and year end procedures.
- Open, sort, and distribute correspondence - including faxes, email, and incoming and outgoing mail - and respond to routine inquires.
Requirements
- High School Diploma, Administrative Office Certificate or equivalent is an asset.
· At least 3 years' experience in an Administrative Assistant position.
- Professionalism while answering telephones, greeting visitors/clients.
- Excellent written and verbal communication skills.
- Previous administrative/dispatching experience.
- Strong work ethic.
- Advanced use and knowledge of MS Word, Excel, Outlook, and Adobe.
- Advanced use and knowledge of QuickBooks.
- Experience with dispatching software or systems is an asset.
- Strong attention to detail and accuracy.
- Computer literate.
- Familiar with Medicine Hat, Redcliff, and Surrounding Area.
- Transportation (NSC) and HSE are an asset.
- Organizational and time management skills are imperative.
