Description
To provide clerical and administrative support to members of our engineering and technical team in a well-organized and timely manner. Basic understanding of the engineering and construction industry would be an asset. Acting as a point of contact between engineers, technical staff and clients. The office space is shared and there will be some overlap with duties.
Responsibilities & Duties:
Oversee all administrative activities in support of engineers & technical staff as they work on construction and other projects.
- handling incoming calls and other communications
- greeting clients and visitors as needed
- managing information flow to staff and clients
- sending/receiving electronic and paper information
- coordinating/maintaining project/client files, managing clients
- handling petty cash, collecting receivables
- organize and maintain office common areas
- planning and scheduling meetings, organize and update calendars
- preparing correspondence, reports, quotes, spreadsheets and other docs
- assist with quotations and bids for construction projects
- assist with other duties as required by management
Qualifications:
- proven experience in an administrative position (5 years min)
- proficient in Microsoft Office Suite with advanced computer literacy skills
- intermediate to advanced knowledge of PCs, tablets and smartphones
- strong customer service ethic, ability to multi-task
- strong clerical and organizational skills
- driver's license and ability to drive
- excellent oral and written communication skills
- criminal record check will be completed
