Medicine Hat Exhibition & Stampede is seeking a dedicated Administrative Associate to join our dynamic team. In this hybrid role, you will serve as a front-line ambassador, playing a pivotal part in the seamless coordination of venue-related activities, addressing customer concerns, and maximizing revenue opportunities through facility rentals. We are looking for a highly organized and outgoing individual with excellent communication, technological proficiency, financial acuity, and scheduling skills. The successful candidate will play a crucial role in exceeding organizational standards.


  • Provide exceptional customer service and expert advice to clients for their events.
  • Respond to customer inquiries about Stampede facilities, including providing information on available dates, rental prices, catering options, and event details.
  • Conduct meetings with potential customers, offering venue tours, and presenting available services.
  • Create contracts, update amendments, and coordinate customer requests with internal staff.
  • Maintain deposits and contracts from clients, demonstrating financial acuity in contract management.
  • Provide on-site event support to ensure positive customer experiences.
  • Accurately record all event details and billing into the venue booking system.
  • Distribute monthly event calendars to all departments.
  • Coordinate with the Operations department for venue setup.
  • Participate in MHE&S in-house events as needed.
  • Represent MHE&S at industry meetings, trade shows, and relevant events for networking.
  • Maintain and update Events, Venues, and Event Calendar on the MHE&S website.
  • Post information about upcoming events open to the public.
  • Work a flexible schedule, including evenings and weekends.
  • Respond to telephone requests even when off-site.
  • Answer phone calls, assist customers, and perform necessary office tasks as required.

Job Skills and Qualifications:

  • Event coordination experience and proficiency in event software.
  • Experience in hospitality management, marketing, or related areas (preferred).
  • Negotiation and sales skills.
  • Bookkeeping knowledge and strong mathematical aptitude.
  • Ability to work independently and collaboratively with internal and external teams.
  • Excellent communication skills.
  • Leadership capabilities.
  • Attention to detail, hyper-organized, strong scheduling abilities, multitasking, adept at working under tight deadlines.
  • Tech-savvy.
