The Administrative Clerk is the first representative of Lethbridge Housing Authority to all clients, tenants, as well as the general public. This position assists clients and tenants with payments for rent, other fees and provide information about available programs and services offered.
Reports to: Director of Corporate and Financial Services
Duties and Responsibilities
Ensure that doors are unlocked at the beginning of each workday and locked during closing.
Turn phones over to the TNS answering service when office closes; check messages from service and forward to appropriate staff member.
Sort and distribute incoming mail.
Obtain documents from clients and tenants and forward to the appropriate department.
Greet and assist clients and tenants in a professional and friendly manner.
Book appointments for various departments.
Responsible for general office email; reply or forward to staff members.
Take payments for rent or other fees and balance all payments received at end of day.
Responsible for balancing daily cash float, petty cash and change box.
Process government cheques in a timely and accurate manner.
Process utility bills and track in a spreadsheet.
In charge of all orders for Office Supplies (stamps, business cards, etc.)
Process maintenance work orders.
Any additional assistance required for the Accounting Department
Administrative Office Professional Certificate.
2-3 years of Administrative experience.
Mental stamina – good stress management skills.
FOIP training required.
Experience with client relations and client service.
Sensitive to the dignity of those who need social housing.
Excellent communication skills both in person and over the phone.
Excellent problem-solving skills; very detail oriented and competent math skills.
Strong computer skills, including Word & Excel; knowledge of Yardi is an asset.
Proficient with printers and faxes.
Work directly with the public, specifically seniors and disadvantaged.
Busy office environment with interruptions from staff, clients, and distractions resulting from office equipment noise and human interaction
Must pass a Criminal Record Check.
Required to sit for long periods.
Must be able to use stairs.
Occasional mild lifting (~15-20 lbs).
