Full job description
As a Collections and Portfolio Administrator, you will play a pivotal role in the collection of outstanding balances of accounts and provide efficient administrative support within our Residential and Condo Division. This multifaceted position is evenly split between two core responsibilities: portfolio collections and administrative support.

ESSENTIAL DUTIES AND RESPONSIBILITIES: Collections (50%) – Portfolio Administrator (50%)
- The collection of outstanding balances within the residential and condo portfolio.
- Engage with clients to facilitate payment arrangements and resolve. outstanding issues in a professional and customer-centric manner.
- Monitor arrears trends, identifying potential risks.
- Collaborate Property Managers and take appropriate action when necessary to recover delinquent accounts in accordance with company policy.
- Maintain accurate and up-to-date records of all collection activities.
- Provide professional customer service for residents and internal departments.
- In collaboration with the Accounting Department, assist with verifying debt, preparing accounts, and providing documents for approval for turnover to an outside collection agency.
- Keep detailed notes within PropertyWare and spreadsheets for any correspondence made with residents.
- Provide administrative support to the Residential and Condo Division, as assigned.
Skills:
- Ability to decipher ledgers and other financial reports
- Proficiency in accounting software and Microsoft Office Suite
- Excellent attention to detail and organizational skills
- Strong problem-solving abilities to identify and resolve issues effectively
- Ability to prioritize tasks and meet deadlines in a fast-paced environment
- Exceptional communication skills, both written and verbal
- Customer service-oriented mindset with the ability to build positive relationships with clients
- Strong data entry skills with a high level of accuracy
- Negotiation skills for resolving discrepancies or payment issues
