Position Details
The HR Services Coordinator provides routine advice on an array of HR services and programs including, but not limited to recruitment, classification and compensation, employee and labour relations, and general HR services. There is one vacant position that will be assigned the Academic portfolio. This portfolio will primarily support academic, graduate, research, and postdoctoral fellow employment comprised of 3 bargaining units, and report to the Director, Academic Employee & Labour Relations. The aim of the HR Services Coordinators is to advance the University of Lethbridge as one of Canada’s top ranked universities and nurture the employment experience and workplace.
MAJOR RESPONSIBILITIES
Recruitment
  • Provides advice on the recruitment and appointment of employees
  • Works with clients on the intake of recruitment requests including the preparation and posting of job postings and providing advice on acquisition strategy
  • Acts as an administrator of the applicant tracking system
  • Creates offers of employment
  • Ensures new hire, renewal and termination documentation is completed and processed
  • Tracks term end dates and works with clients to assess whether appointments will be renewed or terminated
  • Works in collaboration with the Immigration Consultant to ensure that the processes for international recruitment are compliant with legislation and regulations and ensures that documentation required for immigration purposes is in order; maintains the immigration tracking system
  • Assists with the development of and implements on-boarding and off-boarding processes
  • Develops documentation for managers, employees and prospective candidates
  • Maintains recruitment files

 

Classification and Compensation
  • Assists with establishing salary administration guidelines
  • Ensures that employees are paid appropriately and in compliance with the relevant manual/collective agreement
  • Ensures any documentation for changes to remuneration are completed and distributed; liaises with Payroll for implementation
  • Coordinates timelines and procedures, and prepares documentation with respect to compensation programs (merit, career progress); works in close collaboration with clients and HR Analysts to implement the program
  • Supports job classification processes
  • Provides support on compensation and classification projects, such as jurisdictional reviews, pay equity or recalibration projects
Employee and Labour Relations
  • Builds constructive, collaborative, and effective working relationships among Senior Administrators, Managers, Faculty Supervisors, employees, and union representatives
  • Assists with collective bargaining preparation and negotiations by creating reports, conducting research; participates in bargaining as note taker; assists with the implementation of new collective agreements by compiling new collective agreements, offering training and auditing compliance
  • Assists with the development, application and updating of employment manuals and other human resources governance documents and programs for non-union employees
  • Administers grievance procedures and other dispute resolution procedures
  • Assists with organizational restructuring
  • Provides routine advice to senior administrators, faculty administrators and academics staff to ensure that they understand Collective Agreements, employment policies, employment and labour legislation and Human Resources processes
  • Audits practices for compliance to Collective Agreements, employment policies, employment and labour legislation and Human Resources processes
General HR Services
  • Works in partnership with stakeholders to understand unique service needs; assists with continually improving and transforming HR services, programs, and processes initiatives
  • Creates standard operating procedures, forms and documents; automates services
  • Manages records and employment files; creates and maintains e-record management systems
  • Develops employee and manager self-service content including FAQ documents, checklists and process guides to be posted on internal website
  • Ensures information on the HR website is current and accurate
  • Analyzes information, prepares reports and documentation as needed
  • Monitors, triages and responds to inquiries coming in to the HR inbox, works with other HR and Provost’s Office staff to resolve complex issues
  • Acts as a back-up to other HR Services Coordinators as needed
Note: The successful candidate will be required to provide a satisfactory Criminal Record Check.
Position Qualifications
  • Bachelor’s degree in Human Resources Management and at least 1 year of related experience, an equivalent combination of education and experience will be considered
  • Experience in a unionized environment is required
  • Proficient with Word, Excel, PowerPoint, SharePoint and an HRIS system, preferably Banner
  • Demonstrated ability to build collaborative and interest-focused relationships
  • Ability to work independently in managing a large and varied portfolio with evolving priorities and competing deadlines
  • Excellent attention to detail
  • Independent and self-motivated, requiring minimal supervision
  • Demonstrated service delivery focus and exemplary client service skills
  • Demonstrated ability to handle requests for information using tact and diplomacy and maintaining confidentiality and privacy
Starting Salary Range (at 1.0 FTE)
$4,856.25 - $5,395.08 monthly
Full Salary Range (at 1.0 FTE)
$4,856.25 - $5,933.90 monthly (ESS - Grade 10)
