TITLE: Office and Administrative Assistant

DEPARTMENT: Administration

HOURS: 40 Hours per week (Full Time). Must be willing to work a flexible schedule.

REPORTING LINE: Reports directly to the Chief Executive Officer

POSITION DUTIES AND RESPONSIBILITIES Under limited supervision, the Office and Administrative
assistant will coordinate, oversee and/or perform a wide variety of administrative, fiscal and program
support activities for the management team and be the point of contact and support for the Board of
Directors. This position will serve as the primary point of operational and administrative contact,
frequently on complex and confidential issues. The Office and Administrative Assistant will work closely
with the management team and play a crucial role up to management of all projects.

1) Agency


  • Serves as a primary point of direct administrative contact and liaison with the Board of Directors,

government representatives, funders, and community partners on a range of specified issues.

  • Organizes and facilitates meetings, conferences, travel, and special events, as required.
  • Develops, maintains, and oversees disposition of all formal records and historical archives

pertaining to the work of the YWCA.

  • Creates, composes, and edits technical and/or administrative correspondence and

documentation. Screens and evaluates incoming and outgoing correspondence and prepares
responses as appropriate.

  • Coordinates Membership Records.
  • Assists in the coordination, supervision, and completion of special projects as appropriate.
  • Enhances professional growth and development through participation in educational programs,

current literature, in-service meetings, and workshops.

  • Required to work cooperatively with volunteers on various levels.
  • Performs miscellaneous job-related duties as assigned.

2) Program Specific

  • Organizes, facilitates, and follows up on issues related to meetings and other special events for

the Chief Executive Officer and the Board, as required. Prepares, distributes, and maintains the
official minutes and notices of Board and Management meetings. Provides administrative support
for the Chief Executive Officer, to include managing the schedule/calendar, making travel
arrangements, screening, and handling telephone communications, greeting and directing
visitors, and dealing with administrative problems and inquiries as appropriate.

  • Utilizes knowledge and understanding of underlying operational issues to assist in administrative

problem solving, and plan, develop and implement projects and programs.

  • Research information, compiles statistics, and gathers and computes various data; prepares

special and/or one-time reports, summaries, or replies to inquiries, selecting relevant data from
a variety of sources.

  • Collaborate with External Relations Manager for YWCA Communications including but not limited

o Newsletters, Constant Contact, YWCA Publications
o Events
o Social media
o Media Relations
o Preparation of documentation for support of projects

3) Community


  • Represents the values and interests of the YWCA Lethbridge and District at events and functions

in the community.

  • Assists Chief Executive Officer in their duties in community presentations and events as required.


  • Office Administration Diploma or Certificate and/or experience directly related to the duties and

responsibilities specified.

  • Current First Aid and CPR Level C with AED Training.

Knowledge, Skills, and Attributes:

  • Organizing and coordinating skills.
  • Human service sector knowledge and philosophy (person-centered, strength-based, trauma-
informed, harm reduction).

  • Project management skills.
  • Strong interpersonal and communication skills and the ability to work effectively with a wide
range of constituencies in a diverse community.

  • Proven skills in Microsoft Office.
  • Ability to gather data, compile information and prepare reports.
  • Knowledge of current and emerging trends in technologies, techniques, issues, and approaches
in area of expertise.

  • Knowledge of office management principles and procedures.
  • Ability to make administrative and procedural decisions and judgments on sensitive, confidential

  • Knowledge of archiving principles and processes.
  • Ability to create, compose and edit written materials.
  • Ability to develop and maintain recordkeeping systems and procedures.
