OFFICE ADMINISTRATOR

GENERAL DESCRIPTION

Annex Enterprises Inc. is a small welding and fabrication company looking for a part-time Office Administrator (20-25 hours/week). This position is responsible for providing administrative support in the day-to-day operations and requires an experienced person with a strong computer background and excellent organization and communication skills. Most importantly, this position requires someone who can work independently, prioritize tasks and can maintain confidentiality at all times. There is the possibility for this position to move to full-time hours in the future. This position has flexible hours and remote work is also a possibility.

PRIMARY RESPONSIBILITIES

The primary responsibilities include the following, but are not limited to:

  • Provide bookkeeping support (collecting and organizing of receipts for reconciliation, filing, tracking capital assets & disposals)
  • Prepare invoices and other accounts receivable tasks
  • Supply company documentation to clients as required
  • Open & distribute incoming mail & coordinate the flow of information
  • Manage benefit administration
  • Prepare various client correspondence & documentation
  • Ensure provincial and industry certifications are up to date for company and employees
  • Book travel arrangements as required
  • Schedule and coordinate meetings
  • Maintain daily operations database
  • Assist with Quality Control administration
  • Other administrative tasks as required

REQUIRED SKILLS

  • Proficient in MS Office (Word, Excel and Access)
  • Sound knowledge of the principles of organization and administration
  • Excellent organizational and time management skills
  • Excellent written and verbal communication skills
  • Demonstrated ability to work independently
  • Ability to adapt to changing priorities
  • Demonstrated initiative and strong work ethic

EXPERIENCE

  • Previous Office administration (2 years’ experience)
