Position Summary
The Program Coordinator connects children and families, frontline support workers, management, and day-to-day service delivery. The successful candidate will coordinate staff and schedules, communicate with families, support frontline workers, monitor documentation, assist with onboarding and training, respond to concerns and incidents, and help ensure services are delivered according to each child's Individualized Support Plan (ISP), approved service requirements, and BalaiCare policies.
Key Responsibilities
- Coordinate day-to-day services for children, youth, and families.
- Prepare and maintain staff schedules and arrange appropriate coverage for absences or service changes.
- Match support workers with children and families based on service needs, staff qualifications, availability, and compatibility.
- Maintain professional and timely communication with families regarding schedules, services, concerns, and changes.
- Provide guidance, support, and direction to Child Care Support Workers and other frontline staff.
- Ensure staff understand and follow each child's ISP, approved goals, routines, safety strategies, and service requirements.
- Review service notes, attendance, documentation, incident reports, and other required records for completeness and accuracy.
- Respond appropriately to family concerns, staff concerns, incidents, emergencies, and service-delivery issues.
- Escalate significant safety, staffing, or service concerns to management when required.
- Assist with employee orientation, onboarding, training, coaching, and ongoing staff development.
- Promote professional boundaries, confidentiality, respectful communication, and child-centred practice.
- Participate in quality improvement, file reviews, service monitoring, and follow-up activities.
- Support compliance with BalaiCare policies, procedures, contractual requirements, and applicable standards.
Qualifications
- Relevant education or experience in human services, disability services, child and youth care, social services, health care, community services, education, or a related field.
- Experience supporting or coordinating services for children, youth, individuals with disabilities, or families.
- Previous experience in a coordinator, team lead, supervisor, or similar leadership role is an asset.
- Strong organizational, scheduling, time-management, and problem-solving skills.
- Strong verbal and written communication skills and the ability to work respectfully with families and staff.
- Ability to manage multiple priorities, remain calm during unexpected situations, and exercise sound judgment.
- Ability to maintain confidentiality, professional boundaries, accountability, and accurate documentation.
- Basic computer skills and ability to learn electronic scheduling, documentation, and communication systems.
Employment Requirements
Successful candidates will be required to complete or provide applicable pre-employment requirements, which may include satisfactory professional references, a Police Information Check/Vulnerable Sector Check, proof of eligibility to work in Canada, required certifications and credentials, and completion of BalaiCare orientation and mandatory training. Additional requirements may apply depending on the services being coordinated.
Pay: From $25.00 per hour
Expected hours: 37.5 per week
Work Location: In person
