The Root Cellar Food and Wellness Hub (Formerly the Medicine Hat & District Food Bank) believes that hunger exists in the community and that the community has a responsibility to address this food insecurity in a manner ensuring the availability, accessibility and adequacy of food. Purpose
Reporting to the Emergency Food Pantry Supervisor and Operations Manager, the Emergency Food Pantry Assistant, is deeply committed to making a positive impact on vulnerable populations, and those experiencing food insecurity. They are the first impression to all Root Cellar Food & Wellness Hub walk-in guests, visitors, volunteers and donors. This dynamic role involves ensuring the organization’s vision and mission is carried throughout all daily interactions and that every guest, visitor, volunteer or donor is treated with dignity. The Emergency Food Pantry Assistant assists in organizing our Emergency Food Pantry appointments schedule, and ensuring the daily shops operations runs efficiently. Building strong relationships internally with colleagues and externally with clients and partner organizations is essential to fostering a supportive and effective Emergency Food Pantry and Intake environment.
The Emergency Food Pantry Assistant role at the Root Cellar Food & Wellness Hub requires excellent communication, de-escalation, conflict resolution, and problem-solving skills. This position involves communication including in-person interactions, and phone call interactions, administering CRM (Link2Feed) software, G-Suite software/spreadsheets, keeping a high level of confidentiality, providing dignity in all interactions.
Qualifications
- Cheerful, Energetic and Welcoming
- Office & Administrative experience with developed computer skills including MS Office & G-Suite programs
- Strongly developed De-escalation skills & works well under pressure
- Able to multitask efficiently with frequent interruptions
- Excellent interpersonal skills and the ability to interact professionally with people from diverse cultural, racial, ethnic, gender and socioeconomic backgrounds during a time of crisis and distress
- Strong De-Escalation skills and works well under pressure
- Social Work Diploma/Degree/experience would be an asset
- 1 or more years of experience in a nonprofit/social service field would be considered a strong asset
Responsibilities
- Sets the first impression – the first face and voice of the organization
- Answers phone calls, takes & delivers messages or transfers calls
- Check in clients using online platform Link2Feed, and complete the client visit in Link2Feed when finished
- Direct and prompt the daily Hamper and Bags to Go process in a timely and organized manner
- Receives incoming donations, including both monetary and food donations
- Ensure the presentation of the building is clean and tidy, and the public areas are cleaned and clear of any safety hazards. Keep a weekly cleaning routing and schedule for Emergency Food Pantry area.
- Assists the Intake process with Appointment bookings: Inbound/Outbound phone calls, walk-in appointments, email requests, application/admin paperwork as directed by Emergency Food Pantry Supervisor
- Takes minutes during team meetings
- Filing and Client Confidentiality: Ensure accurate information is obtained, filed and kept confidential for all client appointments/interactions.
- CRM/Link2Feed System: Keeping accurate records using the Link2Feed and G-suite systems
- Professionalism: Maintaining a professional, friendly and dignified nature with all client and community interactions
- Dignity: Working closely with Emergency Food Pantry Coordinator and Supervisor to ensure dignity is provided in all interactions within the Emergency Food Pantry Department
- Always display a positive image of the Root Cellar
- Participate & assist with community, fundraising and staff events as requested
- All other duties that may be assigned
Team Support
- Participate in team and staff activities to foster positive working relationships.
- Participate and assist with community or fundraising events as requested by the Events Coordinator
Physical Requirements
- Sitting for periods (Computer use at a desk),

- Lifting - moving things in and out of vehicles/buildings

The Root Cellar Food & Wellness Hub’s regular office hours are Monday – Friday 8:30am – 4:30pm. It is understood that all team members are often required to work irregular hours to ensure that the fundraising and operations objectives of the organization and our commitments to volunteers, members, and the community are being met. The Emergency Food Pantry Assistant may be required to work a minimum of one evening per week and one weekend day per month. A clean Police Information/Background Check is required for this role
