Job Summary

The Office Admin at Public Image Co. will work full-time, Monday to Friday, 8 hours per day. The main goals of the Office Admin are:

· To maintain the accounts payable and accounts receivable system

· To monitor the ordering of product and inventory

· To enhance the customer experience through reception duties

Duties & Responsibilities

The Office Admin is responsible for supporting Public Image Co. by performing daily accounts payable, accounts receivable, ordering of product, and reception duties. The major responsibilities of this position are, but not limited to:

· Inputting payables into QuickBooks (QB) daily and paying the payables as per their terms

· Printing cheques as requested

· Ensuring A/R is under 2% of gross sales at all times

· Creating bank deposits and depositing them as they come in

· Creating and updating client accounts with applicable information

· Creating invoices, collecting payments, and applying payments into QB

· Being prepared for team meetings including having the updated accounts payables and accounts receivables printed

· Ordering various products, office supplies, promotional products, and signage materials on requested dates while using free freight options (deadline pending)

· Price checking between vendors, freight, etc. on each order

· Ensuring all supplier information is up to date and proper credit for returned items is granted

· Engaging in customer service including greeting clients, informing clients when their orders are ready, answering the phone and checking the voicemail, responding to clients, and updating the Thank You Card sheet

· Filing, scanning, faxing, and mailing of documents, in addition to filling out forms

· Utilizing Basecamp software and ensuring Basecamp Calendar is up to date (this includes sending reminders for meetings and events)

· Creating procedures for tasks

· Monitoring Public Image Co. inventory

· Completing additional duties as assigned

Qualifications & Experience

· Experience using QuickBooks online

· Office administrative or equivalent experience considered an asset

· Experience with purchasing considered an asset

· Ability to prioritize workload and problem solve

· Attention to detail with a high degree of accuracy

· Must include three references

Job Types: Full-time, Permanent

Salary: $21.00-$30.00 per hour
