Job Summary
We are seeking a highly organized and detail-oriented Office Administrator to manage daily administrative operations within our office environment. The ideal candidate will possess strong computer skills, excellent communication abilities, and experience with various office management tools. This role is essential in ensuring smooth workflow, maintaining accurate records, and providing exceptional customer support. Prior experience in the construction field, along with proficiency in Sage 300, QuickBooks, and Microsoft Office 365. The Office Administrator will serve as the front desk representative, handle multi-line phone systems, and support various clerical functions to facilitate efficient office operations. Some project administration may be included in the daily work scope

Responsibilities

  • Manage front desk duties including greeting visitors and answering multi-line phone systems with professional phone etiquette
  • Perform data entry and maintain accurate records using Microsoft Office and Sage 300
  • Handle filing systems, document proofreading, and ensure proper organization of office files and correspondence
  • Assist with bookkeeping tasks using Sage 300 and other accounting software
  • Provide exceptional customer service by supporting clients, patients, or vendors through phone or in-person interactions
  • Support administrative tasks such as scheduling appointments, managing calendars, and coordinating meetings
  • Maintain office supplies inventory and place orders as needed to ensure operational efficiency
  • Support project communications and documentation
  • Ensure confidentiality of sensitive information and adhere to organizational policies

Experience

  • Previous clerical or administrative experience preferred, especially within Construction and project management
  • Proficiency with Accounting software, and Microsoft 365 required
  • Experience with data entry, filing systems, and proofreading documents necessary
  • Strong organizational skills with the ability to multitask in a fast-paced environment
  • Excellent customer service skills along with professional phone etiquette for handling inquiries via multi-line phone systems
  • Knowledge of construction procedures and terminology is a plus
  • Demonstrated ability to manage administrative responsibilities efficiently while maintaining attention to detail

Pay: $20.00-$25.00 per hour
