MacLean Wiedemann has offices in Medicine Hat and Brooks and handles a wide variety of legal matters. Our firm is seeking an Administrative Assistant to join our team.

This is not an ordinary administrative assistant position. This is a high-trust, high-responsibility role for a very organized, intelligent, and energetic person who wants to become the operational right hand to a busy lawyer.

  • You are naturally organized.
  • You can take a messy situation and turn it into a clear list of next steps.
  • You are comfortable reminding busy professionals what needs to be done.
  • You like checklists, calendars, systems, and follow-up.
  • You are not easily overwhelmed by competing priorities.
  • You can listen carefully, type accurately, and ask intelligent questions when something does not make sense.
  • You take ownership. When a task is assigned, you do not assume it is complete until it is actually complete.
  • You are professional, discreet, and able to maintain strict confidentiality
  • You are willing to learn legal terminology, file systems, billing systems, and office procedures.

Requirements:

  • Strong typing and proofreading skills
  • Excellent organizational skills and attention to detail
  • Strong written and verbal communication skills
  • Proficiency with Microsoft Word, Outlook, Excel, and related Microsoft tools
  • Comfort learning digital filing systems and billing or timekeeping software
  • Ability to manage multiple tasks in a busy office environment
  • Professional manner with clients and other staff members
  • Strong work ethic, reliability, and willingness to follow through
  • Ability to maintain confidentiality and use good judgment and ask questions whenever necessary

Helpful Assets

  • Experience in a law office, medical office, accounting office, financial office, or other professional environment.

Our firm offers benefits and a competitive salary based on experience. Hours of work will be Monday through Friday 8:30 to 4:30.
