This intermediate-level, unionized position offers the chance to work in a dynamic environment, providing vital administrative support and excellent customer service.

As an Administrative Support V, you will provide comprehensive administrative assistance to the Municipal Works and Airport departments. Your role will also involve interacting with the public, vendors, tenant staff, external partners, and other city departments to ensure smooth operations and exemplary service delivery.


Your Key Responsibilities:

  • Utilize your expertise in office management practices, including administrative processes, accounting principles, file maintenance, minute taking, and record keeping.
  • Provide prompt and comprehensive customer service by addressing requests or complaints, resolving issues related to Corporate Bylaws, Airport plans, department policies, and more.
  • Assist in preparing and disseminating technical documents, operating plans, and correspondence for management review, ensuring accuracy and confidentiality.
  • Handle operating programs, department correspondence, purchase orders, payables, payroll entry, HR matters, travel requests, personnel forms, purchase cards, and data entry.
  • Manage the airport pass office, including application screening, processing renewals, coordinating approvals, scheduling appointments, and issuing credentials and permits.
  • Create statistical reports and compile job postings, safety information, and other relevant data for internal and external distribution.
  • Develop and maintain reliable records in accordance with retention policies using spreadsheets and database applications.
  • Assist with parking management by processing permits, tracking violations, and reconciling petty cash payments.
  • Maintain software programs for airport billing, operations, and maintenance.
  • Participate in the Airport Safety Management System, reporting hazards, incidents, and deficiencies, and assist with corrective actions.


What You Bring:

  • Ability to establish and maintain effective working relationships with staff, customers, vendors, and others.
  • Proficiency in Microsoft, Adobe, ERP applications, and office productivity tools including GIS systems, AARMS, AIM, and Vortex.
  • Strong organizational skills with the ability to prioritize, multi-task, and adapt to changing priorities and deadlines.
  • Analytical and critical thinking skills with sound professional judgment.
  • Ability to work independently with minimal supervision and maintain confidentiality.
  • Excellent interpersonal and communication skills for positive and collaborative relationships.



  • Successful completion of a one (1) year certificate in Office Technology from a recognized post-secondary institution.
  • One (1) year of work experience in a progressive administrative assistant capacity, with extensive involvement in customer service, office technology, record keeping, office equipment, correspondence handling, accounting, and personnel administrative support.
  • Possess and maintain a valid Alberta Class 5 driver's license (or ability to obtain) with an acceptable driving record.
  • Possess an Airport Vehicle Operator's Permit (AVOP) and a Restricted Area Security Pass (RASP), or ability to obtain.
  • Flexible schedule and able to work 18 hours per week on Tuesdays, Thursdays and Fridays.
  • An equivalent combination of education and experience may be considered.
